Coach FREQUENTLY ASKED QUESTIONS

No, ONLY ONE ACCOUNT IS NEEDED. As the coach, you will setup your account and team first. Once the organization enables parents to connect then you will apply as a parent and will then create your child under your parent account. Your coach, parent and children are all handled under ONE ACCOUNT.

Sure thing. Basically you are a "User Type" or a person with some function to the organization. You could be more than one type of user. For example, a Coach could also be the parent of a child participating. In this situation you are two user types (Coach & Parent) and you will add a child (or multiple children) to the organization.

The organization has the option to setup application requirements for each type of user. So basically a coach could be required to sign a waiver and submit his/her certifications, a parent may be required to sign a different waiver and pay fees, and then a child may be required to provide certification information and pay a fee. This flexibility means each user type must follow a process. We streamline this process as much as we can when common information is required, however you will still need to go through each process as they are done at different times in the overall join process.

Assistant Coaches, Parents and Children all fall under the umbrella of a team. To the organization, these individuals would not be joining the organization without being on a team so that's why a Coach Account is required first. It's a hierarchy approach where Coaches are first, Parents are second and Children are third.

Once your coach information is submitted and your team is active you will then wait on the organization to enable assistant coaches, parents and athletes to join. Once those are enabled, you will begin communicating with your parents to have them join the organization. They must select your team in the application process. If you, the Coach, are a parent of an athlete participating, then you'll begin applying as a parent to the organization and subsequently begin adding your child(s) information. Remember, the organization can enable custom requirements for each user type, so each applicant must connect to the organization for each user type. The organization determines when the process is enabled and what is required.

No, transferring an account to another individual is not currently available. If a new person is taking over the team for the upcoming year then that individual will need to establish their own account and start from scratch. They will be required to setup the team much like you did. If coach waivers, certifications or other items are required by the organization then the new team manager will be required to complete the same application process.

Presently, Assistant coaches have very limited roles in the system. HOWEVER, they are still required to connect to the organization just like any other user. They may also be required to provide certification information, etc. When the organization enables the Assistant Coach application, simply contact your Assistant Coaches and have them join the organization. They too will be required to select your team in the process. Once the Assistant Coach completes his/her application they will appear in your Asst Coach List located on your coach dashboard. They will also be listed for selection on all tournament registrations as the responsible individual of a submitted group of athletes.

When you login to the system you will receive all sorts of information, directly on the main user dashboard. You will also receive notices on each of your coach usertypes (Asst Coaches, Parents & Athletes). This will help you stay informed about your participant status. For example if you have an athlete who has not connected to the organization or hasn't paid a fee you will receive an alert. You will not be able to register any athlete who has not connected to the organization. The easiest way to explain it is this, IF YOU SEE ANYTHING RED ON THE DASHBOARD, check it out.

Please keep in mind that an organization could possibly request additional information AFTER the application has been submitted. It will be clearly identified on your dashboard so please login often to check and monitor your status along with the status of your Asst Coaches, Parents and Athletes.
